The $220B Janitorial Industry Still Runs on Paper. ProTeams’ AI Agents Flag the Risks Before Clients Do.

ProTeams Software Services, LLC today announced the release of The Crew, a set of AI agents built into its workforce management platform for commercial cleaning and janitorial contractors. Two agents are generally available today, with five additional agents in early access.

The global janitorial services market was valued at more than $220 billion in 2025, according to Fortune Business Insights, with North America accounting for roughly $63 billion of it. Yet a large share of the contractors serving that market still document completed work with paper logs, handwritten checklists, and text-message updates.

That gap becomes expensive at exactly one moment: when a property manager asks whether the building was actually cleaned. Without timestamped, location-verified records, contractors are left reconstructing the week from memory and goodwill – and goodwill is a thin defense during a contract renewal.

The problem is not effort. It’s evidence.

“Cleaning companies don’t lose contracts because the work didn’t get done,” said Damon Cleveland, Founder and CEO of ProTeams Software Services, LLC. “They lose them because they can’t prove it got done. I’ve been on the wrong side of that conversation with a client, holding a clipboard, and it is not a conversation you win.”

Cleveland runs two commercial cleaning companies alongside ProTeams – ProCleanings in New Jersey and Verdant Build Services in Texas – and built the platform against the operational problems he encountered in both.

The Crew extends that approach from record-keeping to prediction. Rather than surfacing what already went wrong, the agents are designed to flag the conditions that produce complaints – a cleaner who hasn’t checked in, a site that has gone quiet, a client relationship that hasn’t been touched in a quarter – while there is still time to act.

The Crew: seven agents across operations and growth

Available now:

  • Proti – Answers questions about the platform in plain language, finds any record, and walks new hires through tasks, replacing menu-hunting with direct answers
  • Booking – Handles appointment changes autonomously, booking new work, cancellations, and reschedules so the calendar stays accurate without manual upkeep

In early access:

  • Team Visibility – Tracks employee status in real time and alerts the team when something is off. When a cleaner can’t make it, it suggests who to reschedule before it becomes a missed clean
  • Training – Pushes company procedures to the field and tests two ways: situational (how a cleaner should respond in a real scenario, with corrective steps) and task-based (the techniques and steps for the job itself)
  • Champion – Recognizes field crews, clients, and back-office staff across thank-yous, work anniversaries, tenure milestones, and attendance and quality streaks
  • Lead Qualifying – Scores inbound leads against operator-defined criteria, flags high-value leads with follow-up rules, and deprioritizes the rest
  • Client Success – Sends appointment reminders and standing requests for monthly or quarterly check-ins, so client relationships are tended on schedule rather than only when something goes wrong

Each agent operates on the contractor’s own data and rules. Early access agents are available to a limited group of operators, with general availability planned as each is validated in production.

Built for the operators the software industry skipped

ProTeams targets commercial cleaning and janitorial businesses in the 10-60 employee range – companies large enough that verbal coordination has broken down, but too small to absorb enterprise facility-management software.

“The tools in this industry were built either for a two-person residential outfit or for a national with a procurement department,” Cleveland said. “There’s a whole middle where the owner is still the operations manager, and that’s who we build for.”

The company reports that operators using verified check-in and photo documentation are able to answer service disputes with a record rather than an argument – a shift Cleveland describes as the difference between defending a contract and simply renewing it.
